Duties & Responsibilities:

  • Document Scanning: Utilize scanning equipment and software to convert physical documents into digital files. Follow established guidelines and quality standards to ensure accurate and legible scans.
  • File Organization: Organize and categorize digitized documents in a logical and systematic manner, following the designated file structure. Maintain consistency and accuracy in naming conventions and folder organization.
  • Data Entry: Enter relevant metadata and indexing information associated with digitized documents. This may include document titles, dates, keywords, or any other pertinent details required for efficient retrieval and searchability.
  • Quality Assurance: Review scanned files for any errors, missing pages, or other discrepancies. Perform quality checks to ensure the integrity and completeness of digitized documents.
  • File Conversion: Convert digitized documents into appropriate file formats, such as PDF, JPEG, or other formats as required. Optimize file sizes without compromising document quality.
  • Preservation and Storage: Assist in determining the appropriate storage solutions for digitized documents, considering factors such as security, accessibility, and long-term preservation. Collaborate with the IT team to implement effective document management systems.
  • Database Management: Update and maintain the digital document management system or database, ensuring accurate records of digitized documents and their locations.
  • Collaboration: Work closely with cross-functional teams to understand specific document requirements and timelines. Collaborate with team members to ensure a smooth and efficient digitization process.
  • Troubleshooting: Identify and troubleshoot any technical issues related to scanning equipment, software, or file formats. Communicate problems to the appropriate personnel and contribute to finding solutions.
  • Documentation: Create documentation and guidelines for future digitization projects, including best practices, standard operating procedures, and recommendations for optimizing the process.

Requirements:

  • Recent/Current Registration Form | Proof of Enrollment
  • Barangay Clearance (Must be valid upon hire date)
  • Memorandum of Agreement (MOA)
  • Endorsement Letter from the Professor in Wellness PRO
  • NSO/PSA Birth Certificate
  • Vaccination Card against COVID-19
  • 2 Copies of each 2x2 and 1x1 sizes without Eye Glasses
